Frequently asked questions
Short answers about signing in, roles, approvals, visits, orders, the app, the books and where things are in SalesYatra.
Answers are grouped by topic. If something looks broken rather than puzzling, try Troubleshooting.
Signing in and your account
Accounts are by invitation only, and there is no sign-up page. An administrator adds you under Executives, and saving your record emails you a link to choose your password. See Signing in.
No. You choose your password yourself from the link in your invitation email. Nobody at the company sees it, the administrators included.
24 hours, and it works once. After that, select Forgot password? on the sign-in screen to get a fresh link, or ask your administrator to resend the invitation.
Yes. Once the first invitation has gone out, your login already exists, so every later link arrives as SalesYatra: reset your password. Use it to choose your password in the same way.
Yes. The Android app takes the same email and password as the web portal, and has its own Forgot password? link. See Install the app.
It depends on your role. Reps and managers land on the field portal's Dashboard, and warehouse staff on Dispatch. The accounts desk and the accountant land on Accounts → Home, and administrators on the admin panel. See Where you land.
The administrator marks your record inactive rather than deleting it. Your history stays in SalesYatra, and your login stops working at once, on the web and in the app.
Roles and access
Approvals is for Area Sales Managers and above, and administrators. Sales Executives and Assistant Territory Managers don't approve. If you should be approving, ask your administrator to check your role. See Roles and permissions.
An ATM is part of the reporting line but does not approve. SalesYatra skips past you to the first manager above, an Area Sales Manager or higher. If there is none, the records go to the administrators.
No. Your own records go to your reporting manager. Only an administrator can decide on their own records.
Look at the foot of the sidebar, under your role. Approvals go to names the person your orders, requests and travel plans go to first. After a manager approves an order or a request, an administrator gives it the final approval.
SalesYatra walks up the reporting line to the next active manager with an email address. If there is nobody, the administrators are asked. Ask your administrator to set your new Reports to so the line is right again.
Everyone below you in the reporting line, however deep. A Deputy General Manager's team includes their Area Sales Managers, those managers' ATMs, and all of their reps. See Your team.
No. The CEO is a manager and sees their own reporting line. Only administrators have the unfiltered view of the whole company.
Your role reads every book and report in both firms and changes nothing, so the buttons that would change the books are not shown to you. The accounts desk enters documents.
The admin panel is for administrators only, and Accounts is for the accounts desk, the accountant and administrators. If your role can't open the part a link points to, SalesYatra takes you to your own landing page instead.
Approvals and notifications
Your manager decides whether the order is sound and who in the warehouse will pack it. An administrator then approves it as a company check. The moment they do, the order goes to the warehouse employee the manager named. See Approvals.
Notifications you haven't opened yet, leaving out any request somebody else has already decided. See Notifications and emails.
Several people were asked to decide the same thing and a colleague got there first. The notification shows how it ended and who decided, and it no longer counts on your bell.
Yes. Install the app and tap the button in the approval email. It opens the app on the record you have to decide, or the portal if the app isn't installed. See Approvals in the app.
Not about overdue bills: those go only to the rep who looks after the school. The accounts desk can have a firm email each invoice and credit note to the school or trade party as it is issued. That is a setting per firm.
It is raised when the warehouse records the dispatch, for exactly the books packed, and emailed to you as a PDF. It is also linked from the top of the order's page. It comes from the firm the warehouse chose when it recorded the dispatch, and the order's page names it under Invoiced by.
Plans, visits and expenses
Yes. File it under Daily Expenses. A plan is for a trip that needs your manager's approval, and working in your own city needs none. See Daily Expenses.
A plan takes expenses only once your manager has approved it, and it locks again while it is with them for validation. See Travel Plans.
Either the accounts desk has already paid it, or it belongs to a travel plan and has to be changed there. A paid claim is closed to edits. If it really is wrong, the desk can cancel the payout, which reopens it. See Staff claims.
No. Visits are logged, not approved. Your manager reads them under Visits → My team and can leave you a comment. See Visits.
You entered more copies of a title than you hold. Samples come out of My Stock, so raise a self stock request first, or correct the quantity. See My Stock.
You can't add yourself to a school. An administrator decides who is accountable for each school, so ask them. See My Schools.
Orders, requests and stock
Once submitted, the order belongs to its approvers. Only a draft or a rejected order can be edited, so ask your approver to reject it back to you with a note. See Order lifecycle.
Choose who will pack it under Packed by first. The manager names the warehouse employee as they approve. See Approvals.
Only the books that were packed. The invoice is raised at dispatch from the packed quantities, so a short shipment is billed short. Raise a new order for anything still owed. See Order lifecycle.
No. The dispatch is the order's last step, and its invoice has already been raised and emailed. Books that come back are recorded as a return. See Returns.
Only an older order does. Before the warehouse chose the firm at dispatch, each title was billed by the firm the catalogue lists it under, so an order with both firms' titles got an invoice from each. Now a dispatch raises one invoice, from the firm the warehouse picks, for every book in the parcel. See How the books work.
Most often, the dealer's order isn't attached. Every order carries what the dealer sent: a screenshot of the WhatsApp message or email, a photo of a paper order, or the PDF. Your manager and the administrator check the books against it.
You can save a draft without it, and attach it later with Edit order. Anything else missing is listed in the order summary under "Still needed before you can save". See Orders.
Not unless an administrator raises the discount cap. A book's own discount and the additional discount together can't come to more than the cap, on the portal or in the app. It is 40% to start with, and an administrator can change it under Settings. A quotation can go deeper, but raising an order from it is then refused. See How an order is priced.
The warehouse sent what it had, and the rest will follow on the same request. See Requests.
No. A rejected request is final, so raise a new one. See Request lifecycle.
The class has no enrolment for that academic year, and an adoption is valued from it. An administrator enters enrolment on the school under Admin → Schools. See Adoptions.
The Android app
No. It notes your location only between starting and ending your day, only while it is on your screen, and never in the background. See Location sharing.
Yes, before you can check in at a school. Start day takes a photo of your odometer and its reading, or No vehicle today. Reports, orders, plans and approvals don't wait on it. See Start and end your day.
Visits and your day. Check-ins with their photos, reports, and the start and end of your day with the odometer photos wait on the phone and upload later. Orders, plans and approvals need a connection, because the server prices and numbers them. See Working offline.
No. Use the web portal for those. The one claim the app files is the day's drive, when you end a day you started with your own vehicle. See Orders in the app and Start and end your day.
Accounts
A collection recorded on a visit is a claim until the accounts desk confirms it into a payment. See Collections to confirm.
Dues shows only bills made out to the school itself. A bill to a dealer is on the dealer's account. See Dues.
Purchases and stock valuation aren't kept in these books, so there is nothing to work a cost of goods sold from. See Accounts reports.
Record the payment against the bill as usual, and pick the account the money actually reached under Into account. SalesYatra posts it in both firms. See Payment-In.
Dates and time
India's. Every date is India's date, so "today" means today in India, and a visit logged just after midnight belongs to the new day. Forms start at your device's own date, so keep your phone and computer set to the right date and time zone.
On 1 April. The year from 1 April 2026 to 31 March 2027 is written 2026-2027, and forms that ask for a year start at the current one.
Where to find things
Under Dues in the field portal. A manager sees the schools of their whole team. See Dues.
Under My Stock. It shows what the warehouse has sent you on your self stock requests. See My Stock.
Under Documents, which holds shared material such as catalogues, price lists and training material. See Documents.
Use the report screens. Export .xlsx is under Admin panel → Reports and Employee report, and Export to Excel is on many of the Accounts reports. See Reports and Accounts reports.
The Showing switcher at the top of every Accounts screen is set to one firm. Choose Both firms to see them together. The choice is remembered in each browser separately.

Troubleshooting
What to do when a link has expired, a check-in is refused, a visit won't upload, an order won't submit, a button is greyed out, or the books refuse a date.
