Requests
Ask for specimen copies for yourself, samples sent to a school, or a teacher-training workshop, and follow each one through two signatures to the warehouse.
/field/requestsA request asks the company for something it gives away rather than sells: specimen copies for you to carry, sample copies sent to a school, or a workshop for a school's teachers. Every request is validated by your manager and approved by an administrator before anyone acts on it, and the warehouse then ships the books.
Request types
| Type on the form | Badge in the list | What it's for | Where the books go |
|---|---|---|---|
| Self stock (for me) | Self stock | Specimen copies you hand out on visits | To you. They're added to My Stock when they ship. |
| School sampling | Sampling | Sample copies sent straight to one school | To the school. They never touch your own stock. |
| Workshop (teacher training) | Workshop | A teacher-training workshop, on a budget | Nothing ships. An administrator marks it conducted once it's held. |
Raise a self-stock request
Start the request
Open Requests and select New Request. Request type starts on Self stock (for me).
Check where the books go
Ship to is filled in with the address an administrator keeps on your employee record, and the hint under it reads "Your address on file." Change it if these books should go somewhere else, such as a branch office. If you've typed over it, Use my address on file puts your address back.
If no address is on file, the box starts empty and the hint says so. Type where the books should go. An administrator can add your address on Executives so it's filled in next time.
Choose how it travels
Pick a Shipment mode: COURIER, TRANSPORT or HAND DELIVERY.
Add the titles
Under Titles requested, open Select title on each line, search for it by title, ISBN or author, and type the quantity. Each line starts at 5 copies. Select Add line for another title, or the bin icon to remove one.
Submit
Add Remarks (optional) if the warehouse needs to know something, then select Submit request. The manager who decides on your requests is notified straight away, or the administrators if nobody above you can.
Raise a school sampling request
The steps are the same as for self stock, with three differences:
- Choose School sampling as the Request type.
- Pick the School. The list holds the schools on your own patch, and a sampling request can't be submitted without one.
- Type the school's address in Ship to. Your own address isn't used here: if it had been filled in, switching to sampling takes it back out.
Request a workshop
- Select New Request and choose Workshop (teacher training).
- Pick the School if the workshop is for one. It's optional.
- Type the Workshop topic and the Budget (INR).
- Pick a Proposed date (optional) if you have one in mind.
- Select Submit request.
A workshop has no ship-to address, titles or remarks, so put everything the approvers need in Workshop topic. The request is filed under the current academic year.

What happens after you submit
- Your manager validates it or rejects it. For self stock and sampling, they also choose who in the warehouse will pack it.
- An administrator approves it. Their approval hands a stock or sampling request straight to the warehouse employee your manager named. A workshop is ready to be held.
- The warehouse records what it sent. It ships what it has, which can be fewer copies than you asked for. The request then waits as part shipped until the rest follows, and becomes shipped once every copy has gone.
You get a notification in the app and by email at each step: when your manager decides, when an administrator decides, and each time books ship. The full lifecycle, with every rule, is on Request lifecycle.
Statuses
| Badge | What it means |
|---|---|
| PENDING | Waiting for your manager. |
| WITH ADMIN | Your manager validated it. Waiting for an administrator's final approval. |
| VALIDATED | Both signatures are in. A workshop waits here to be held. A stock or sampling request waits here only if nobody was named to pack it, and then an administrator ships it. |
| ASSIGNED | With the named warehouse employee, waiting to be packed. |
| PART SHIPPED | Some copies have gone. The rest are still owed and will follow on the same request. |
| SHIPPED | Every copy has been sent. |
| CLOSED | The workshop was held. |
| REJECTED | Your manager or an administrator turned it down. This is final: raise a new request if you still need the books. |
Follow a request
Select the Request no. in the list to open it. The request shows:
- its status, type, who raised it and the school
- a progress strip: Request raised, Manager validated, Admin approved, With dispatch and Shipped. With dispatch names who is packing it, and Shipped counts the copies sent, such as "12 of 20 copies sent". A workshop's strip ends at Conducted instead.
- where it ships and how, with your remarks
- Lines, with how many of each title have shipped so far
- History, with every decision, who made it, when, and any note they added
Sales executives see their own requests. Managers see their own and their team's, meaning everyone who reports to them directly or through someone else. Administrators see every request.
When the books arrive
Self-stock copies are added to My Stock as soon as the warehouse records the shipment, including each part shipment. From then on you can record them as sampled on your visits.
School sampling copies go straight to the school, so your own stock doesn't change.
Good to know
- Managers raise requests too. Yours goes to your own manager, never into your own approval queue.
- You can't edit or withdraw a request after you submit it. If it's wrong, ask your manager to reject it and raise a corrected one.
- Requests are on the web portal only. The Android app doesn't have them.
- Handing specimen copies back is recorded by the warehouse, not on this screen. See My Stock.
