Reports
Export visits, travel plans, requests, orders, expenses and stock to Excel, for a named period and for everyone or one person.
/admin/reportsReports turns the field registers into Excel workbooks. Pick a period and, if you want one person's work, an employee, then export the register you need or all of them in one file.
For the books, such as profit and loss, the balance sheet or ageing, use Reports in Accounts instead.
Export a report
Pick the period
Select This week, Last week, This month, Last month or Custom range. The page opens on This month. For a custom range, fill in From and To.
Pick whose work
Under Employee, leave Everyone, or choose one person. The list shows active people only, each with their role.
Export
Select Export .xlsx on the card you want. The file downloads, named after the report and the dates it covers.
Weeks run Monday to Sunday. The period is worked out on India's calendar when you export, so every administrator's "last week" is the same seven days.
The reports
| Card | What's in it | Which date the period applies to |
|---|---|---|
| Everything, one workbook | Visits, travel plans, requests, orders, expenses and stock balances, a tab each. | Each tab's own date, as below. |
| Visits | Every logged visit with school, person met and manager comments. | The visit date. |
| Travel plans | Each planned day with travel type, city, spend and whether proof was attached. | The day's date. |
| Requests | Stock, sampling and workshop requests with their statuses. | The date the request was raised. |
| Orders | School orders with discount, dispatch details and invoice numbers. | The order date. |
| Expenses | Every claim line, daily and on travel plans, with its proof and whether it has been paid. | The claim's date. |
| Stock balances | Specimen stock on hand per executive per title. | None: it is always today's balance. |
When you choose one employee, each report keeps their own work: the visits they logged, the requests they raised, the orders they raised, the claims they filed and the stock they hold.
Columns
Date, Type, Academic year, Executive, School code, School, City, Person met, Feedback, Manager comment, Visit no. to this school (academic year), Past the limit.
Visit no. counts the employee's visits to that school from 1 April, even in a shorter export. Past the limit says Yes from the sixth visit on: filter on it to find every repeat visit.
Date, Executive, Plan, Plan status, Travel type, City, Schools planned, Expense, Expense note, Screenshot attached.
Request no., Type, Status, Requested by, School, Ship to, Academic year, Budget (workshop), Created.
Order no., Status, Order date, Academic year, Raised by, School code, School, Ship to, Delivery address, Billed to, Buyer GSTIN, School PO, Payment terms, Overall discount %, Additional discount %, Gross, Discount, Taxable, GST, Total, Dispatch owner, Courier, AWB, Dispatched on, Invoice no., Invoiced at.

Proof attached counts a per-kilometre journey as proved when both odometer photos are there. The photos are optional on a claim, so a drive in the employee's own vehicle filed without them shows No. Travel plan is blank for a day with no plan behind it.
Entered from is Mobile for the drive the app files when someone ends their day with their own vehicle, and Web for a claim typed on the portal.
Executive, Title, ISBN, On hand.
Good to know
- Times are India's. Columns such as Created and Invoiced at show the time in India, so something done just after midnight lands on the right day.
- A custom range can be open-ended. Leave From or To blank and the range has no limit at that end.
- Stock balances ignores the period. It is what each rep holds right now. For the warehouse shelf, see Stock.
- For a manager and everyone under them, open the Employee report, choose the manager, select Whole team, and export from there.
