Approvals

Approve or reject your team's orders, give their final approval, and decide on travel plans from your phone.

Who uses itArea Sales Managers and above, and administrators
Where to find itAndroid app → Approvals tab
Available onWeb portal and Android app (Approvals tab)

Approvals is a manager's decision queue on the phone. It holds what the people in your reporting line have sent you, and never anything of your own. The tab appears only for an Area Sales Manager (ASM), Deputy General Manager (DGM), National Sales Head (NSH), Chief Executive Officer (CEO) or Administrator. Approvals and the reporting line explains who decides what.

The queues

Along the top are the queues. The header counts what is waiting on you in the one you are looking at.

An empty queue says "All clear". Pull down to refresh.

Approve an order

Open the order

In the Orders queue, find the order and tap Decide.

Choose who will pack it

Under Who will pack this?, tap the dispatch employee who will pack the order. You cannot approve without choosing one, so Approve stays greyed out until you do. If the list is empty, the app says "No dispatch staff set up yet — approve this one from the portal."

Add a note and decide

Type a Note (optional) if you want the rep to see one, then tap Approve or Reject. Tap Cancel to close the card without deciding.

An approved order goes to an administrator for final approval. A rejected one goes back to the rep to correct and resubmit. See Order lifecycle.

What an order card shows

  • the order number, the school and the order date
  • who raised it
  • the order total and the overall discount, for example "₹18,057.60 · 12.5% off list price". The percentage is every discount together, the books' own and the additional one, so you can judge the price at a glance.
  • Billed to a dealer, when the order is not billed to the school. New billing party in amber when the name is not on the dealer list yet: approving the order is also agreeing to that party. See Bill-to parties.
  • Custom delivery in amber when the rep typed a delivery name and address, with the full address below. You are the only check on where those books are sent.
  • Ships to another school, when the order was raised on the portal for delivery to a sister school
  • Dealer's order, which opens the screenshot or PDF the order was raised from, to check the books against. Orders raised before it was asked for have none.

Give an order its final approval

Administrators only. In To approve, tap Decide on the order. The card shows who the manager named to pack it (Packed by a name, or Nobody named). Add a note if you like, then tap Approve to release the order to that dispatch employee, or Reject.

When the order names a new billing party, the card says "Approving adds it to the dealer list; rejecting removes it."

Dispatched orders

Dispatched orders aren't here. The dispatch is an order's last step, so nothing waits on a manager after the warehouse sends it.

If your app still shows a Dispatch queue, it is an older version. Update it from the Play Store. Until then, Sign off there only says there is nothing to sign off.

Decide on a travel plan

A plan comes to you twice, and its card says which decision it needs.

BadgeWhat you are decidingButtons
Approve the tripThe plan's dates and budget, before the trip. Approving agrees to them, and the days and what they cost come back to you for validation afterwards.Approve or Decline
Validate days and spendThe days the rep filled in and what they claimedValidate or Reject

The card also shows the plan's dates and its budget, or "No budget". A declined plan is finished, and the rep raises a new one if the trip is still needed. A rejected one goes back to the rep to correct. Plans take no note in the app.

Open an approval from an email

When you tap an approval link in an email on your phone, the app opens on Approvals with only that item showing, under "Showing the item from your email." Tap Show all to see the rest of the queue.

If someone has already decided the item, the app says "That item is no longer waiting on you — it may already have been decided. Your full queue is below." If you were signed out, sign in and the app takes you on to the item. Install and sign in explains how the link chooses between the app and the portal.

What is not in the app

  • Requests for stock, sampling and workshops are decided on the portal's Approvals screen. An email about a request opens the portal, never the app, and if the phone hands the link to the app anyway, the app passes it straight on to the browser.
  • Visits are not approved. Read your team's visits and comment on them in Visits on the portal.

Good to know

  • If SalesYatra refuses a decision, for example because someone else decided first, the reason appears in red at the top of the screen.
  • Home shows how many items are waiting on you across every queue, with a Review button that opens this tab. See Home.
  • A rep who opens this tab by following a link sees "Nothing comes to you for approval".
