My Schools
See the schools you are accountable for, when each was last visited, and start a visit report straight from the list.
/field/schoolsMy Schools is your patch: every school you are accountable for, with how often it has been visited. You work against these schools from other screens. The school records themselves are kept by the administrators, though you can add a school yourself when you visit one nobody has entered.
How a school becomes yours
An administrator puts you on a school in the admin panel, in one of two ways:
- As its owner. Every school has one Accountable executive (owner), the single name reports put against it.
- Alongside the owner. A large school is often worked by more than one rep, one sampling and another taking the order, so an administrator can add you under Also accountable, or give you a set of schools from your own employee record.
Either way the school appears on your list, and you can log visits, plan days, raise orders and place requests against it. When you are added to a school you get a notification and an email naming the school, with an Open my schools button. If an administrator takes you off a school, it leaves your list.
You can also add a school yourself while logging a visit. It goes on your list as its owner.
This list is also the list every school picker offers you: on a visit, a travel plan's day, an order, an adoption and a request. A school that is not on My Schools cannot be picked anywhere. If the school is not in SalesYatra at all, add it from the visit form. If it is already there on someone else's list, ask your administrator to put you on it.
Add a school from a visit
When you visit a school that nobody has entered, you don't have to wait for an administrator. Add it from the visit form and log the visit straight away.
- On the portal: in the visit form, under School, select Not on your list? Add a new school.
- In the app: on the Check In screen, under School, tap Not on your list? Add a new school. See Visits in the Android app.
Fill in the School name, Address, City / District, Pincode, State and Territory. The Board and Phone are optional. The territory and state start as the ones most of your schools are in. Select Add school.
The school is then on My Schools and chosen for the visit. SalesYatra gives it a code in its town's series, such as JPR-080. Its potential starts at MEDIUM, and if you leave the board blank, it is filed as "Unconfirmed". The administrators are told you added it, and one of them checks its details later. Nothing waits on that.
SalesYatra refuses a school that is already in SalesYatra with the same name and pincode, and says who has it, for example: "Shiksha Niketan (CHM-004), Chomu, is already on the register with Saket. Ask your manager or an administrator to add you to it." A second copy would split the school's visits, orders and dues in two.
Find a school
Type in the search box to narrow the list. It matches the school's name, its code, or its city or district. The list is sorted by name, a page at a time.
Columns
| Column | What it shows |
|---|---|
| Code | The school's code. Every school has its own, set by the administrator. |
| School | The school's name. |
| City / District | Where the school is. |
| Potential | How the administrator has graded the school: HIGH, MEDIUM or LOW. |
| Last visit | The date of the most recent visit logged at the school, by anyone, or Never. |
| Visits | How many visits have been logged at the school, by anyone. |
| Log visit | Opens the visit form with this school already chosen. |
Log a visit from the list
Select Log visit on the school's row. The portal first suggests logging the visit from the Android app instead, because only the app can record that you were at the school. Select Continue on web to carry on with the school already filled in. The whole form is described in Visits.
What only an administrator can change
Apart from adding a new school from a visit, you cannot add, edit or remove a school from the field portal. Everything on a school's record is kept by the administrators under Admin panel → Schools:
- its name, code, address, phone, email, board and potential
- its territory
- who owns it and who else is accountable for it
- its class enrolments, which value its adoptions
- its map pin and visit fence
If anything on the list is wrong, ask your administrator to correct it.
Map pins and the visit fence
A school's map pin decides where you can check in to it from the Android app.
- A school with a pin has a fence. A check-in from the app is refused unless you are within the fence: 100 m of the pin by default. An administrator can widen a school's fence up to 500 m, but never below 100 m, which is the tightest a mid-range phone's GPS can reliably manage in a busy city.
- A school with no pin has no fence. The app accepts a check-in there from wherever you are, because blocking it would stop your field work over a gap in the school's record.
- A wrong pin refuses you at the right gate. The app tells you how far from the school it thinks you are. Ask your administrator to fix the pin, which they can do by pasting the school's Google Maps link into its record.
A visit logged on the portal is never fenced, and is marked as a web entry instead. See Visits in the Android app for the check-in itself.
Good to know
- Administrators see every school. An administrator's My Schools lists the whole company's schools.
- The dashboard counts owned schools only. The My schools tile on the Dashboard counts the schools you own, not the ones you were added to alongside the owner.
