My Stock

See how many specimen copies of each title you're holding, and what makes the count go up and down.

My Stock lists the specimen copies you're carrying: the books the warehouse sent you on your self-stock requests, less what you've sampled at schools or handed back. The same total shows on your Dashboard as My stock.

Read your stock

The list has one row per title you've ever held:

ColumnWhat it shows
TitleThe book.
ISBNIts ISBN.
On handHow many copies you hold now.

A title stays on the list at 0 once you've given out every copy, so you can see what you've run out of.

Nobody types a number into this count. It's worked out from every movement of your books, listed below.

What changes the count

What happensWhat it does to On handWhere it happens
The warehouse ships your self-stock request, in full or in partGoes up by the copies shippedRequests and Dispatch
You record titles under Titles sampled on a visitGoes down by the copies sampledVisits
You correct a visit's sampled titlesRecounts to match what the visit now saysVisits
The warehouse records a return of your own stockGoes down by the copies returnedDispatch, under Returns

A school sampling request never changes your count: those books go straight from the warehouse to the school.

Get more copies

Raise a self-stock request on Requests. Once your manager and an administrator have signed it and the warehouse ships it, the copies appear here, a part shipment included.

You can't sample more than you hold

When you save a visit, SalesYatra checks each title under Titles sampled against your stock. If you're recording more copies than you hold, the visit isn't saved. The message names each title, how many you're carrying and how many you entered, and asks you to raise a self-stock request or correct the quantity.

Because a visit's samples are always recounted to match what the visit says, correcting a quantity on a visit you already saved puts the difference back on your stock.

Hand books back to the warehouse

You don't record a return yourself. The warehouse records it when the books arrive.

Get the copies back to the warehouse

Send or hand the copies to the warehouse. It helps to tell them which self-stock request the books came on.

The warehouse records the return

The dispatch team records it under Dispatch → Returns, against your self-stock request. They can take back only copies that went out on that request and haven't already come back.

Your count goes down

On hand drops by the copies returned, and you get a notification in the app and by email. Nothing is credited, because nothing was billed for specimen copies.

Only what you still hold can come back

The warehouse can't record more copies coming back from you than you still hold. Copies you've already sampled at schools came off your stock then, so they can't be returned a second time. If the parcel holds more than your count shows, the warehouse records what you hold.

Good to know

  • This page shows only your own stock. Managers don't see their team's holdings here.
  • My Stock is on the web portal only. The Android app doesn't show it, but the app's visit report takes samples off the same count.
