Location sharing
When the app records where you are, what your manager sees on Team on the road, and how to stop it.
The app reads your location in three ways. A check-in takes one reading at the school gate, as proof of the visit. Starting and ending your day records where you were at each, if the phone can say. And during your working day, while the app is on your screen, it notes where you are every three minutes, so your manager can see how your day on the road went. Nothing is recorded before you start your day or after it ends, and nothing in the background or while the app is closed.
When the app records your location
| At check-in | While the app is open | |
|---|---|---|
| When | When you open Check In, and again each time you tap Refresh location. Only the reading you check in with is kept. | Every three minutes, from the moment you start your day until you end it or it closes on its own, while the app is on your screen |
| What is kept | Your position, how accurate it was, your distance from the school, and the photo, all with the visit | Your position and the time, as a record of where you were during the day |
| What it is for | Proving you were at the school. See Visits and check-in. | Your day's stops, in order and with times, and roughly how far you travelled |
The readings stop as soon as the app is not on your screen: when you switch to another app, lock the phone or close the app. They start again when you come back to it, if your day is still under way. On a day you never start, none are taken at all. The app never asks for location "all the time".
The three-minute readings never ask for permission on their own. They use the permission you gave for check-ins, so if you have not allowed location, no readings are taken. The web portal never reads your location.
What your manager sees
The readings appear on Team on the road on the portal.
- Who sees them. The managers above you in your reporting line, and administrators. Colleagues at your level, the billing desk and the warehouse do not.
- Where you are now. Only inside the working day your administrator sets, and only if the app has reported in the last 15 minutes. Outside working hours, nobody's current position is shown.
- Your day. When you started and ended it, your odometer readings and their photos, and the stops, in order and with times, with roughly how far you travelled, for any day. Working hours limit what is shown live, not what is recorded: readings taken during your day but outside working hours still count towards its stops and distance.
Your manager uses this to see how a day on the road went, to see where you are before ringing you, and to check a day's travel claim against the distance the phone recorded. It is not used to work out anything you are paid.
Why the distance reads short
The distance is the sum of straight lines between readings a few minutes apart, so it runs short of a winding road and will never match an odometer. Two things keep it honest:
- Steps shorter than 50 metres are left out, because a phone standing still wanders by tens of metres and would otherwise add up to kilometres you never travelled.
- A jump of more than 100 kilometres between two readings is left out as a gap, not counted as a journey. This happens when location was off between two places.
When you have no signal
Readings taken with no signal are held while the app stays open, and sent together once the signal returns. They are not kept once the app is closed, so a day's trail can have gaps. Visits are different: they stay on the phone until they sync. See Working offline.
Stop location sharing
- For the rest of the day: end your day. Nothing is recorded until you start the next one.
- For a moment: switch to another app, lock the phone or close the app. Nothing is recorded until you come back.
- Completely: open Android Settings → Apps → SalesYatra and turn location off. This stops both the location history and the check-in reading, so you will not be able to check in from the app. You can still log visits from the portal, without proof of location.
- Uninstalling the app stops all collection by it. Check nothing is waiting to sync first.
Battery
The app takes one reading every three minutes rather than following you continuously, because closer readings would cost battery without adding detail. It takes no readings at all while it is closed or in the background.
How long it is kept
Check-in positions and photos stay with their visits. Your location history is kept the same way, as a business record: nothing deletes it automatically. To ask for a copy, a correction or deletion, contact your administrator. The privacy policy sets all of this out in full.
