Stock
See how many copies of each title the warehouse holds, add or take off stock by hand, and read how each level got where it is.
/admin/stockStock is the company's own shelf: the copies the warehouse holds of each title. It is separate from what each rep is carrying, which is their own stock (see My Stock).
Most movements happen on their own. Dispatching an order or a request takes copies off the shelf, and a return puts them back. You adjust the shelf by hand only for what arrives from the printer, what is damaged, and what a stock count says is missing.
Read the shelf
The page, headed Warehouse stock, lists every title in the catalogue with its List price and the copies On the shelf. A title below the low-stock level shows its figure in amber with a low badge.
- Show only what is low narrows the list to titles below the level. Select it again to see everything.
- The line beside it says how many titles are below the level, for example "3 titles are below 200 copies."
- The search box matches title and ISBN.
The level comes from Settings.
Add or take off stock
Open the title
Select Adjust on the title's row. The dialog shows how many copies are on the shelf now, and the movements behind that figure.
Choose the direction
Select Add stock for copies coming in, or Take off for copies going out.
Enter the copies and why
Enter How many copies. Under Why (optional), say what happened, for example "Consignment from the printer" or "Damaged in transit".
Save
Select the button, which reads Add 500 copies or Take 12 copies off as you type.
Every adjustment is recorded against your name, with or without a reason. You can't take off more copies than the shelf holds: SalesYatra refuses with "Only 40 on the shelf — taking 50 off would put it below zero."
Only administrators adjust the shelf. Warehouse staff pack what they are told to pack, and the shelf falls by exactly that much on its own. If they could adjust it too, a stock count could never tell a packing error from a manual correction.
Movements
The Movements list in the dialog shows the most recent changes to the title, newest first. Each line gives the change in copies (green for in, red for out), the reason, who made it and the date. A hand adjustment without a reason reads "No reason given".
These are the movements SalesYatra records on its own:
| What happened | Shelf | The line reads |
|---|---|---|
| The warehouse dispatches an order | Down | dispatched on the order number |
| The warehouse ships a stock or sampling request | Down | shipped on the request number |
| The warehouse takes back books on a return | Up | returned on the return number |
| The billing desk issues an invoice without an order | Down | sold on the invoice number |
| The billing desk sends books out on sale-or-return | Down | out on sale-or-return, with the challan number |
| Unsold books come back on a sale-or-return challan | Up | returned unsold, with the challan number |
| The billing desk issues a credit note that restocks | Up | returned on the credit note number |
| Opening stock is brought in from Vyapar | Up | opening stock from Vyapar |
Cancelling a counter-sale invoice, a restocking credit note or a return reverses its movement. See Dispatch, Returns and Sale-or-return challans.
Low-stock alerts
When a title's shelf falls below the level set in Settings, every administrator gets a notification in the app and an email naming the title and how many are left.
- It fires once, on the fall. A title that stays low doesn't raise a new alert on every dispatch, because an alert that fires every day is one nobody reads.
- Restocking above the level arms it again. The next fall below the line raises a fresh alert.
- Any movement can trigger it, whether a dispatch, a sale or a hand adjustment.
