Repeat visits
See which employees have visited the same school more than five times in an academic year, with every visit past the fifth marked in red.
/admin/repeat-visitsAn employee's first five visits to a school in an academic year are expected: introducing the series, sampling, following up, collecting. A sixth visit to the same school is a warning sign. The rep is stuck at that school, or is filling the day with an easy school instead of the ones that need them.
This screen lists every employee who has gone past five, school by school, so you don't have to read the visit register a visit at a time.
How visits are counted
- Per employee, per school. Two reps visiting the same school are counted apart. One rep visiting many schools is counted school by school.
- Per academic year, April to March. The year comes from the date of the visit, not the academic year chosen on the visit form, so changing the year on the form doesn't reset the count.
- Every visit counts, whether it was logged from the app or the portal, and whether its report is written yet or not.
- The first five are normal. The sixth visit and every one after it is a repeat visit, and shows in red wherever the visit is listed in the admin panel.

Open the list
Open Repeat visits under People in the sidebar, or select Review repeat visits on the red warning on the Dashboard.
Pick the year
The page opens on the current academic year, marked (this year). Select one of the two years before it to look back.
Read the figures
Three tiles add up the year. They turn red when the count is above zero.

Find the worst first
The table has one line for each employee and school, the most visits first. Visits this year gives the count and how many are over, with a bar of one square per visit: grey for the first five, red after that. First → last visit gives the dates of the first and the latest visit.
See the visits behind a line
Select See visits. Every visit that employee made to that school in the year is listed in order, numbered 1st visit, 2nd visit and so on. A line marks where the limit was reached, and every visit below it is in red. Select the arrow on a visit to open its full report in the visit register.
Where else repeat visits show
- Dashboard. While anyone is past the limit this year, a red warning at the top of the Dashboard names the worst three and links here. It isn't shown when nobody is.
- Employee report. In the Employee report, a red notice above the tiles says how many of the period's visits were repeat visits. The Visits list numbers each visit and paints the repeat ones red, and a team's Who did what table has a Repeat visits column.
- Exports. The visits sheet of every export has a Visit no. to this school (academic year) column and a Past the limit column that says Yes for a repeat visit. See Reports.
Good to know
- The count runs over the whole year, even in a short report. In an employee report of one week, a visit that was the sixth of the year is still the sixth, and still red.
- The year starts afresh on 1 April. A school visited eight times last year starts again at the first visit this year. Last year's lines stay under last year's button.
- Reps and managers don't see this screen. It is in the admin panel only.
