Employee report
See everything one person, or a manager and their whole team, did over a period: visits, travel, requests, orders, collections and expenses.
/admin/employeesThe employee report answers "how did Anil's week go" on one screen, instead of five registers with five date filters. Pick a person and a period, and it shows their totals, a chart of their visits, and the records behind each total. For a manager, it can cover their whole team.
It gathers a named person's whole working record, so only administrators can open it. Managers can't, even for their own team.
To find out whose report to open, start from Team performance. Opening someone from there opens this report on them, over the days they were judged on.
Run the report
Choose an employee
Under Choose an employee, search by name, code or role, then select the person. Only active people are listed. A manager shows "team of" and the number of people below them.
Pick the period
Select This week, Last week, This month, Last month or Custom range. The page opens on This month. For a custom range, fill in From and To; the report runs once both are set.
Choose just them or the whole team
For someone with people under them, select Just and their first name, or Whole team, which says how many people it covers. The team is everyone below them in the reporting line, however deep.
Read the figures
The dates the report covers show beside Export .xlsx. Twelve tiles give the totals, a chart shows Visits per day, and the buttons below open the records.
If any of the period's visits went past five to the same school in the academic year, a red notice above the tiles says how many. Show the visits opens the Visits list, where they are marked in red. See Repeat visits.
The tiles
| Tile | What it counts | Small print |
|---|---|---|
| Visits | Visits dated in the period. | How many still have their report to write. |
| Schools seen | Different schools visited. | How many visits were logged on the app. |
| Planned days | Travel plan days in the period. | How many were working days (base city, out-station tour or ex-station working). |
| Travel spend | What the travel plan days in the period cost. | "from travel plans" |
| Requests | Requests raised in the period. | How many still wait for a signature. |
| Orders | Orders dated in the period. | How many are dispatched. |
| Order value | The total of those orders. | — |
| Collections | Money recorded as collected on visits in the period. | How many, shown as receipts. |
| Expenses claimed | Every claim filed for a day in the period. | How many claims, travel plans included. |
| Titles adopted | Titles marked as adopted, on adoptions recorded in the period. | — |
| Follow-ups | Follow-ups raised on visits in the period. | How many are still open: no due date, or due today or later. |
| Travel plans | Plans that overlap the period, even partly. | How many are validated. |
A plan that straddles a month end counts in both months, because it was worked in both.
Records behind the totals
Select Visits, Travel plan days, Requests, Orders or Expenses to list the records, 15 a page.
| Section | Columns |
|---|---|
| Visits | Date, School, Visit, City, Type, Person met, Status |
| Travel plan days | Date, Plan, Travel, City, Schools, Spent, Status |
| Requests | Request no., Type, School / ship to, Amount, Status |
| Orders | Order no., Date, School, Value, Invoice, Status |
| Expenses | Date, Day, Category, Mode, Amount, Entered from, Travel plan, Note, Status |
Visit says which visit to that school this was in the academic year, counted from 1 April even when the period is shorter. From the 6th visit on, the badge and the whole line are red.
For a team, each list starts with an Employee column. Expenses includes daily claims with no travel plan behind them, shown with a dash under Travel plan. Entered from is Mobile for the drive the app files when someone ends their day with their own vehicle, and Web for a claim typed on the portal.
Who did what
A team report adds a Who did what table: one line per person with their Visits, Schools, Repeat visits (in red when above zero), Orders, Order value, Collections, Expenses and Requests. The manager comes first, then down the chain, most senior first.
Select a name to open that person's own report. Someone who has since left is marked "no longer active" and still counted for the work they did.
Export it
Select Export .xlsx to download the same period as one workbook, a tab each for visits, travel plans, requests, orders, expenses and stock balances. With Whole team selected, the file covers the same people as the screen.
