Import

Load schools and catalogue titles in bulk from a CSV file, and see exactly which rows failed and why.

Import, headed Bulk Import on screen, loads many schools or titles at once from a CSV file. It has two cards, Schools and Catalogue titles. Each card shows the exact column headings it expects and offers a Sample CSV to start from.

Rows that pass are added. Rows that fail are listed with their row number and the reason, and nothing about them is saved, so you can fix those rows and upload just them again.

Import a file

Get the sample

On the card you need, select Sample CSV. It downloads a file with the right headings and one example row.

Fill it in

Fill in one row per school or title, keeping the headings exactly as they are. Save it as a CSV file. From Excel or Google Sheets, choose CSV when you save or download.

Choose the file

Select the file box on the card and pick your CSV. The card says how many data rows it read, for example "schools.csv: 120 data rows parsed".

Import

Select Import. When it finishes, the card shows how many were imported and how many rows failed, with a table of Row and Error for each failure.

Row numbers count data rows only, skipping blank lines: row 1 is the first line under the headings.

An import adds rows and can't be undone from here. Try a few rows first, and check them in the register before loading the whole file.

Schools

The headings, in this order:

code,name,address,cityDistrict,state,pincode,phone,board,potential,territory,executiveCode,latitude,longitude,geofenceRadiusM

A school imported this way has only its owner on it. The file has no columns for the invoice email, the sampling and decision months, or other people on the school: add those on the school afterwards. See Schools.

The firm column accepts Vyapar's codes because the catalogue is usually copied out of Vyapar.

What gets refused

ProblemWhat happens
A value in the wrong shape (a 5-digit pincode, a 12-digit ISBN)The row fails, naming the column and what was wrong.
A territory name that isn't in GeographyThe row fails with "unknown territory". Names are matched ignoring capitals.
An employee code that isn't in ExecutivesThe row fails with "unknown executive code".
Only one of latitude and longitudeThe row fails with "latitude and longitude must be given together".
A school code already in the registerThe row fails with "insert failed … (duplicate code?)".
A series name that isn't in the catalogueThe row fails with "unknown series". Create the series first.
A firm code SalesYatra doesn't knowThe row fails, listing the codes it accepts.
An ISBN already in the catalogueThe row is skipped quietly and not counted as imported. The existing title is left as it is.

Set up the territories, executives and series before importing, since the import looks them up by name or code and won't create them. The order is on the Admin panel page.
