Glossary

The words you will meet in SalesYatra, each defined in a sentence or two, with a link to the page that covers it.

Terms are in alphabetical order. A word in bold inside a definition has its own entry.

A

TermWhat it means
Academic yearThe school year that adoptions, orders and visits belong to. It runs from 1 April to 31 March and is written 2026-2027. Forms start at the current one. See Adoptions.
Accountant (read-only)The chartered accountant's role. Reads every book and report of both firms and can change nothing. See Roles and permissions.
Accounts (Billing)The billing desk's role. Keeps both firms' books: invoices, Payment-In, credit notes, expenses and staff claims. Also called the accounts desk. See Accounts.
AdministratorThe role that sees everything and can decide anything. Keeps the admin panel and gives the final approval on orders and requests. See Roles and permissions.
AdoptionThe list of the publisher's titles a school is considering or has taken up for one academic year. Each title is marked SAMPLED, SHORTLISTED, ADOPTED or LOST. See Adoptions.
ApproverThe person your orders, requests and travel plans go to first. It is the first active manager above you in the reporting line, or the administrators when there is none. The foot of your sidebar names them under Approvals go to. See Approvals.
ASM (Area Sales Manager)The first role in the reporting chain that approves. See Roles and permissions.
ATM (Assistant Territory Manager)A role in the reporting chain between the Sales Executive and the Area Sales Manager. An ATM does not approve, so their reps' records go to the next manager up. See Roles and permissions.

B

TermWhat it means
Bill toWho an order's invoice names: the school itself, a trade party from the register, or someone else whose name the rep types. A typed name joins the register when an administrator approves the order. See Billing parties.
Books closedA firm's books locked up to a date, usually the last day covered by a GST return that has been filed. Nothing can be dated on or before that day. The accounts desk sets it under Setup → Period lock. See Setup.

C

TermWhat it means
CEO (Chief Executive Officer)The top of the reporting chain. A manager, not an administrator, so the CEO sees and approves their own reporting line. See Roles and permissions.
Check-inThe first half of a visit, done in the Android app at the school gate with a photo and your position, after Start day. Until the report is written, the visit reads REPORT PENDING. See Visits in the app.
Cheques in handWhere a cheque or demand draft sits after it is received and before the bank clears it. It moves through IN HAND, DEPOSITED and CLEARED. A BOUNCED cheque puts the whole amount back on the party and alerts the school's rep. See Cheques.
ClaimAn expense you file for a working day, under Daily Expenses or on a travel plan's days. The app also files one when you end your day with your own vehicle: the day's drive, from the two odometer readings. A claim shows a Mobile or Web badge for where it came from. The accounts desk pays claims back with a claim payout, and a paid claim can no longer be changed. See Daily expenses.
Claim payoutThe accounts desk paying an employee back for their daily expenses. One payout settles every unpaid claim of theirs in the period. See Staff claims.
CollectionMoney a rep records as collected on a visit, by cash, cheque, demand draft, UPI or bank transfer. It reduces what the school owes only once the accounts desk finds it and confirms it as a Payment-In. See Collections to confirm.
Counter saleAn invoice the accounts desk raises directly, without a field order behind it. See Sale invoices.
ConsignmentOne lot of an order's books leaving the warehouse, with its own courier, docket number, bilty and invoice. An order the warehouse is short of goes in more than one. See Order lifecycle.
Credit noteA document that reduces what a party owes, for books that came back or a bill that was reduced. See Credit notes.

D

TermWhat it means
Daily expensesWhat a working day cost you, such as food, travel, hotel and miscellaneous, with the bill attached. Claims you add on a travel plan show here too. See Daily expenses.
DealerSee trade party. The order form lists trade parties under Dealers.
Dealer's orderThe order as it was sent in: a screenshot of the WhatsApp message or email, a photo of a paper order, or the PDF. It is attached to every order before it is submitted for approval, and the approvers check the books against it. See Orders.
Delivery challanThe document books leave on when they go to a dealer on sale-or-return. The books leave the shelf with it, and nothing is billed until the dealer settles. See Delivery challans.
DGM (Deputy General Manager)A manager role in the reporting chain, above the Area Sales Manager. See Roles and permissions.
DispatchThe warehouse sending out an order or a request. Each consignment of an order raises its own invoice for exactly the books packed in it, and the last one is the order's last step. Also the name of the warehouse's screen and of the Dispatch (Warehouse) role. See Dispatch.
DuesWhat your schools owe, read from the accounts desk's books. A bill is overdue once its due date has passed. See Dues.

F

TermWhat it means
Final approvalThe second signature on an order or a request, given by an administrator after the manager's approval. Nothing reaches the warehouse without it. See Approvals.
FirmOne of the company's two businesses, Domato Book Co. and Dominions, each with its own books, bank accounts, numbering and GSTIN. Every title belongs to one firm, which bills it on the desk's own documents. A field order is invoiced by the firm the warehouse chooses at dispatch. See How the books work.

G

TermWhat it means
GeofenceThe circle around a school's map pin that a check-in must be made from. It is 100 m unless an administrator has widened it for that school, up to 500 m. A school with no map pin has no fence. See Visits in the app.
GSTINA firm's or party's 15-character GST registration number. A firm without one prints its invoices as "Invoice" instead of "Tax Invoice". See Setup.
GSTR-1 and GSTR-3BThe two GST returns SalesYatra prepares for each firm and period. GSTR-1 lists outward supplies table by table, and GSTR-3B is the summary return. See GST returns.

I

P

TermWhat it means
Part dispatchedAn order the warehouse has sent part of, with the rest still owed. Its badge reads PART DISPATCHED, and the rest follows on the same order as another consignment with its own invoice. See Order lifecycle.
PatchThe schools an employee is accountable for. An administrator puts schools on a patch. It decides which schools you see under My Schools and on Dues. See My Schools.
Payment-InA receipt for money received from a school or a trade party. It pays the party's oldest bills first unless the desk says which, and anything left over stays on their account as an advance. See Payment-In.

RequestAn ask for books or a workshop, signed by your manager and then approved by an administrator. There are three types: self stock, school sampling and workshop. See Requests.
ReturnBooks that come back to the warehouse from a school, a trade party, or a rep's stock or sampling request. They go back on the shelf when the warehouse records them. A return from a school or trade party then waits for the accounts desk to raise a credit note, or to take the books back without one. See Returns.
