Scanning books
Add books to an order, a request, a parcel or an invoice by scanning the barcode on the back cover, instead of searching for each title.
Every book in the catalogue is known by its ISBN, the 13-digit number under the barcode on the back cover. Wherever you add books on SalesYatra, you can scan that barcode instead of searching for the title. Each book you scan is one copy, so a pile of books is counted as you scan it.
You can scan in three ways:
- With the camera. On a phone or tablet the camera opens as soon as you select Scan. On a computer, select Use the camera. In the Android app, select Scan and hold each book in front of the back camera.
- With a scanner gun. A USB or Bluetooth barcode scanner works on any page that has a Scan button, without opening anything: just scan. You don't need to set it up, because the computer treats it as a keyboard.
- By typing the ISBN. If a barcode is torn or won't read, type the number printed under it into the ISBN box and press Enter. Hyphens are fine, and so is the older 10-digit ISBN.
Where you can scan
| Screen | What a scan does | Who |
|---|---|---|
| Orders → Books ordered | Adds the book to the order, or one more copy if it is already on it. The app's Orders tab does the same. | Reps and managers |
| Requests → Titles requested | Adds the book to a stock or sampling request. | Reps and managers |
| Visits → Titles sampled | Adds a specimen you left at the school. The app's visit report does the same. | Reps and managers |
| Adoptions | Adds the title to the school's adoption list, as sampled. | Reps and managers |
| Quotations | Adds the book to the quotation. | Reps, managers and the billing desk |
| Dispatch → Scan to pack | Counts the books as they go into the box. See Packing by scanning. | Dispatch (Warehouse) staff |
| Dispatch → Returns | Counts the books in a returned parcel, a copy per scan. On a request's return, only books that went out on that request, and are not back yet, are taken. | Dispatch (Warehouse) staff |
| Invoices, proformas, challans and credit notes | Adds the book to the document. A credit note takes only books its firm billed. | Accounts (Billing) |
| Catalogue → Scan a book | Finds the book in the list. If the catalogue doesn't have it yet, the New Title form opens with its ISBN filled in. | Administrators |
| Warehouse stock → Scan a book | Opens that title's Adjust form, for books arriving from the printer or a stock count. | Administrators |
Scan books into a form
Open the scanner
Select Scan (or Scan books) beside the list of books.
Scan each book
Hold each barcode inside the box on the camera, or scan it with the scanner gun. You hear a short beep, and a line under the camera says what happened, for example "Vyakaran Nidhi 3 — 4 copies". The scanner stays open for the next book.
Finish
Select Done. The books are on the form, each with the number of copies you scanned. Check the quantities and save as usual. Scanning never saves anything by itself.
The camera counts a book once while you hold it in front of it. To count a second copy of the same book, take the first away and show the next one.
Packing by scanning
When you record a dispatch, every title's box starts at the full quantity ordered. If you'd rather count what actually goes in the carton, select Scan to pack:
- The first scan sets every title to nothing, and counts from there.
- Each book you scan adds one copy to its title, up to the number ordered.
- A title you don't scan goes as short, and the invoice bills only what you scanned.
A book that isn't on the order is refused, so a wrong book can't go into the box unnoticed. You can still change any quantity by typing it.
When a scan is refused
| What the scanner says | What to do |
|---|---|
| No title in the catalogue has the ISBN … | The book isn't in the catalogue. Ask an administrator to add it in Catalogue. |
| … is no longer in the catalogue. | The title has been withdrawn and can't be ordered or sent. |
| … is not a book's ISBN. | You scanned another barcode on the cover, such as a QR code. A book's barcode starts 978 or 979. |
| That book is not on order … / did not go out on … | The book doesn't belong to this consignment or request. Set it aside. |
| All … are already packed. | You have already scanned every copy ordered. |
Good to know
- The browser asks once for permission to use the camera. If you refused it, allow it again from the camera icon in the address bar. In the app, allow it under the phone's settings for SalesYatra.
- The camera works in Chrome on Android and on a Mac. Safari, Firefox and Chrome on Windows read barcodes too, though a little slower.
- A scanner gun doesn't scan into a text box you are typing in: click outside the box first, or open Scan and scan into its ISBN box. In a title search box, a scanned ISBN picks that book.
