How attendance is counted

See what makes a day present, a day off or an absence, and why nobody marks attendance by hand.

Attendance in SalesYatra is not a register anybody fills in. It is read off what people already do every day: starting their day on the app, logging visits, and the days off on their travel plans. So it can't be forgotten, and it can't be argued with. An employee sees exactly the record their manager and the office see.

What each day is

Each date is worked out on its own, top to bottom. The first line that fits decides it.

The day isWhenColour
PresentThe day was started on the Android app, with Start day on Home. This holds on a Sunday or a day of leave too: somebody who worked it came to work.Green, deeper with more visits that day
Visits, day not startedVisits were logged on it, but the day was never started on the app. These are mostly visits entered in one go on the web portal, which carry no proof of where anybody was. It counts as attended, and is shown apart.Amber
Leave, Holiday or Weekly offAn approved travel plan gives the day that kind.Blue, violet, grey
Weekly offIt is a Sunday, unless an approved travel plan makes it a working day.Grey
Not started yetIt is today, before the day closes on its own.An outline
AbsentAny other working day that has gone by.Red

A day is late when it was started after the start of the working day an administrator sets under Admin panel → Settings → Working hours (see Settings). A late day is still present, with an amber edge on its square.

Leave has to be approved

Leave, holidays and weekly offs come from travel plans, and only from a plan your manager has approved. A day off on a plan still waiting for approval reads as Absent, with a line saying the leave was asked for. It turns into leave the moment the plan is approved. A day off on a declined plan stays an absence.

Where two plans cover the same date, the newer one decides it.

When counting starts

Nobody is marked absent for a day before:

  • the first day anybody started on the app, which is when the app began recording days, or
  • the day the person was added to SalesYatra, if that was later.

Those days show as empty squares. So do days in the future.

Whose days are counted

Every employee starts their day on the app, the warehouse and the billing desk as well as the field: a day at the office is a day without a vehicle. Absences are counted for the Sales Executive, Assistant Territory Manager (ATM), Area Sales Manager (ASM), Deputy General Manager (DGM), National Sales Head (NSH), Chief Executive Officer (CEO), Dispatch (Warehouse) and Accounts (Billing).

They aren't counted for the Administrator login or the Accountant (read-only), who isn't on the staff. If either of them starts a day, it still shows as present.

The figures

FigureHow it's worked out
AttendanceThe days attended (present, or visits with the day not started) as a share of working days. Working days are the attended days and the absences. Days off and days not yet counted are left out.
Days startedDays started on the app.
AbsentWorking days with nothing on them.
Late startsDays started after the start of the working day.
StreakAttended working days in a row, up to today. Sundays, holidays and leave don't break a streak and don't add to it. An absence ends it.
Usual startThe middle start time of the days started on the app: half started earlier, half later.

Putting a day right

Attendance can't be edited. A day that reads wrong is put right where it comes from:

  • Forgot to start the day? It can't be started afterwards. If you logged visits, the day already counts as attended, shown in amber.
  • On leave, but showing absent? Put the leave on a travel plan and have your manager approve it.
  • A visit missing? Log it on Visits with the right date.
