Cash & Bank
See what each bank account, the cash in hand and the uncleared cheques hold, open any account's book, and move money between accounts.
/accounts/bankingCash & Bank shows every money account of both firms with what it holds today: the bank accounts, the cash in hand, and the cheques received but not yet cleared. Open any of them for its book, entry by entry. This is also where you record money moving between accounts: cash banked, cash drawn, or one firm paying the other.
What the page shows
The three totals at the top cover the firm the switcher shows, or both firms:
| Total | What it adds up |
|---|---|
| In the bank | Every active bank account's balance |
| Cash in hand | Every cash account's balance |
| Cheques not yet banked | Cheques and DDs received and not yet cleared into a bank |
Below them, each firm has a card for each bank account (with the bank, the last four digits of the account number, the IFSC and the UPI ID), each cash account, and its cheques in hand. An account below zero shows its balance in red, marked Overdrawn.
Bank accounts are added and edited in Setup, with the account number and IFSC that print on invoices. A firm with no bank account yet shows a card pointing there.
Open an account's book
Select any card. The book lists every entry on that account in the period, with the balance after each.
- The period starts on the current month. Change it with the date pickers, or with This month, Last month or This year.
- The totals show the Opening balance, Money in, Money out and the Closing balance.
- The table has the Date, the Type of entry (such as Payment-In, Expense, Contra or Cheque Cleared), its No., the Particulars, the Narration, Money in, Money out and the Balance.
- Select an entry's number to open it. An invoice, receipt or credit note opens its own page. Anything else opens the entry, showing each account it debited and credited.
The book is kept from the firm's side: money coming in is a debit to the account, and money going out a credit. That is the reverse of the bank's passbook, which is kept from the bank's side of the counter.
Move money between accounts
Use this for money that moves with no party on either side: banking the day's cash, drawing cash from the bank, moving money from one bank to another, or one firm paying the other back.
Open the form
Select Transfer / deposit / withdraw.
Choose the two accounts
Choose From (where the money leaves) and To (where it arrives). Both lists offer every bank and cash account of both firms. The two must be different accounts.
Enter the details
Enter the Date, the Amount (₹), and a Narration (optional), such as "Cash deposited at the Raja Park branch". Without a narration, the entry is described as the one account to the other.
Between the two firms
When From and To belong to different firms, the form says so: both firms' books record the transfer. The firm receiving the money owes the other that much more; or, if the firm paying is settling what it owed, it now owes that much less. This is how the firms settle what they owe each other, for example after a school paid one firm's bill into the other firm's bank.
A transfer inside one firm shows as a Contra entry. A transfer between the firms shows as an Inter-firm entry in each firm's books, both with the same number.
Cancel a transfer
Open the transfer from an account's book or from the Daybook, and select Cancel entry. Write a Reason of at least three characters and confirm. The transfer is reversed in the books, in both firms if the money crossed between them, and its number stays taken.
Good to know
- There is no bank reconciliation screen. Compare an account's book with the bank statement for the same period.
- A cheque reaches a bank's book only when you mark it cleared on Cheques. Until then it counts in Cheques not yet banked.
- You can't date a transfer on or before the day either firm's books are closed after a GST filing (see Setup).
- For an adjustment that is not money moving, such as a correction or a write-off, use a journal entry. New journal entry is on this page.
- The Accountant (read-only) sees every account and book, but not the buttons that record or cancel.
